I have created a couple of tracking charts to help us coordinate all the people who will be taking still picture and video for the May 26 EEV Celebration.
These charts are meant to help us cover ALL (as many as possible) the activities during the day.

Please review the chart and let me know if corrections (i.e. your email addresses) are needed.

Before next Wednesday (5/26), I hope to have spoken/written to all of you so that we have all the activities covered - i.e. nothing falls through the cracks.

I have included Cel Phone #'s on the Tracking Chart so that we can stay in touch with one another during the event should we need to find someone, a.s.a.p.. Some people may be reluctant to publish their Cel #. Please respect the privacy of those that do list their Cel #.. Thanks.

The still pictures will be used by Ellen and Corinne for a EEV Celebration "Wrap up" session in the Hillwood Commons Lecture Hall at the end of the event (1pm). This is the same room they will be preparing the presentation. In order for pictures to be included in the "wrap up" presentation, they must be in Corinne's or Ellen's hands no later than 12:30.

I ask Corinne and Ellen and John to please give all of the capturers any instructions for the capturing they will do (i.e. shoot at high resolution, etc.)
I don't mean for this to be a lesson in photography/videography composition etc., merely some advice about camera settings.

I will be moving around from session to session trying to reach the activities further away from Hillwood. . If I can be of help in getting your digital images transferred, grab hold of me and I'll try to do it right there on the spot. I'll have my computer and a multi-media digital card reader with me .I'll take whatever I've collected from the various members of the Capture crew, over to Corinne and Ellen in the Hillwood lecture hall. For those working in Hillwood, would each of the capturers (photography and non-photography contributors) please be responsible for getting your digital pictures to Corinne and Ellen as soon as possible - certainly no later than 12:30. If this is a problem for anyone please let me know and I'll be happy to help.You may (probably will) make a few "drop-offs" at Corinne/Ellen so they can begin their editing work concurrently with other activities

We are using a variety of digital media (Memory Sticks, Smart Cards, Flash Cards, etc). To keep the pictures from getting mixed up (and being difficult to identify) please write down the 4 pieces of information I've indicated below (your name, session Period (1,2,3,4), Session name, Session room) when you bring your digital medium to Ellen or Corinne (or Faye, if you're working with 3.5" floppies). Just separate at the perforation and hand in a slip with your photos. The production staff will copy the images from your camera medium, and return it to you immediately to continue shooting the next sessions.

Might I suggest, if you will be using your own "memory stick" or "smart card" or digital DVD or whatever, that you put your name on it. These digital media as you know are tiny and easy to lose or get mixed up with others. The same can be said for cameras, computers and other equipment like AC power adaptors, etc.
